Thesis defence request

Once your thesis is completed, you must request approval for its defence. The first step in obtaining this authorisation consists of the presentation of the thesis defense request through the Student's Virtual Secretary (SVA), together with the documentation related to your thesis.

The request is made electronically through the SVA, therefore you do not need an electronic signature. The director(s) will receive an email to evaluate your application and the authorized profile will be able to do so through his virtual secretary.

• Pre-application check

  Before the end of the deadline for the presentation (“Expected end date” in your file)

  ✔ Check that:
   

  • You have a dedication in the program for more than 18 months. This date appears on your file
     
  • You do not have to pass any formative complement
     
  • You're not down
     
  • There is already a previous defense

  If you incur in any of the above situations, it will not be possible to make the request through the Virtual Secretary

  • You have no pending payments
     
  • You have training activities pending evaluation
     

  In these two cases you can make the request through the Virtual Secretariat but it will give you an alert

  • The title of the thesis coincides with that of the last approved Research Plan; Otherwise, your SVA initiates a change in said Plan in advance. You can also do it in the thesis defence application itself, through the Virtual Secretary.
     
  • The language of the thesis. Remember that if the language of your thesis is not Galician or Spanish, it must contain an abstract of 3,000 words in Galician.
     

  ✔ Collect documentation
   

  The SVA allows that during a period of time you can add documentation without it disappearing when you disconnect the session.

  ✔ Prepare the electronic copy of the thesis:
   

  • You have to incorporate your thesis to the SVA at the time of making the application, it is a mandatory document. The format is PDF A4 size. The document must be unprotected (no password and no signatures).
     
  • The thesis can be uploaded in PDF or ZIP format. The rest of the documents must be uploaded only in PDF format.
     
  • Consult the UNESCO codes to correctly fill in the corresponding section of your application.

• Defense request through the SVA

  The request is made through your SVA from the Consulta expediente doutoramento RD 99/2011 > Acceder á solicitude de defensa menu once you have compiled the attached documentation specified, you can do this a few days before the period for the submission of the request ends, since the application allows you to save and exit.

  To do it correctly, we recommend:

  • Check the Thesis Defense Request from the SVA Manual, in it you will find all the information you need to carry out this procedure correctly.
     
  • Have the complete PDF of your thesis with the format established by the USC.
     
  • It is mandatory that you indicate an email, in it you will receive the different notifications.
     
  • Once all the documentation has been uploaded, you have to return to the application and click on the Send to authorized profile button. From this moment on you will not be able to make any more modifications, your PhD program will contact you if you have to amend, if applicable, your application.
     

• Submission to the EDIUS and opening of the public exposure period

  Once the documentation received electronically through Xescampus has been reviewed, in the event of being incorrect, the School will contact the Doctoral Programme to amend it.

  In the assumption of being correct, the exposure period will be opened, which will be 10 business days in the school period (not counting Saturdays, Sundays and holidays). This situation will be reflected in Xescampus and will be published on the EDIUS website.

  During the period of public exposure, if a doctor wants to have access to a thesis in deposit, he/she must make a request through the electronic site through the following form providing his/her doctoral degree.

• After the authorisation of the thesis defence

  On occasions, the authorisation of the thesis defence requires additional evaluations, for which both you and your supervisors may be asked to:

  • Provide additional information and even present yourselves
     
  • That the Academic Committee of your Doctoral Programme (CAPD) issues an opinion or responds to specific queries
     
  • That experts in the area/s of knowledge related to your work, outside the USC, provide advice.
     

  If the above is not necessary and you are notified of the approval of your thesis defence, you must:

  • Make the payment of the thesis defence fees through the SVA.
     
  • Sign up and fill out the Teseo form.
     
  • Contact your PhD Programme to manage the procedures for communicating the defense date.

  On the contrary, if your thesis has not been authorised for its defence, it will be communicated to you, motivating the denial and indicating what aspects should be corrected before proceeding to the submission, where appropriate, of a new PDF of the thesis or the presentation of the allegations that proceed. Your thesis supervisor and the CAPD will be informed.
